Responsibilities
The Administrative Assistant reports to the Operations Manager and is responsible for, or assists with, a broad selection of tasks and duties including:
- Equipment cataloging and management
- Purchasing software for client projects and internal use
- Ordering office supplies and computer / technical equipment
- Handling support inquiries
- Co-ordinating annual and referral gifting
- Writing & maintenance of procedures manual
- Collection, saving and reconciliation of receipts
- Entering chargebacks for client expenses
- Bookkeeping assistance
- Accounts Payables & Receivables
- Bi-annual survey of customer satisfaction
- Assisting with company travel arrangements
The above is not an exhaustive list of duties, and you may be asked to learn and do other interesting work as necessary to support the organization and its overall business objectives.
Skills
The best applicant will have many of the following skills at the “Very Fine”, “Near Mint” or “Mint” level, in something approximating this order:
- Google Docs
- Google Sheets
- Basecamp
- Harvest (Time Tracking / Billing)
- ExpressionEngine (as an admin)
- Basic HTML
- QuickBooks
In addition, experience with Google Analytics, Google AdWords, and/or social media and marketing, will be considered bonus checkmarks in the “Yes” column.
What are the other requirements?
- Self-starter with healthy curiosity
- Tenacious attitude towards problem-solving
- Good at hitting deadlines with a thump
- Excellent spoken and written communication skills - you will sometimes be in direct contact with clients
- A long-term interest in keeping on top of new technology trends and tools
- Try not to have the same username as anyone we’ve previously hired
Yes, that’s a long list to match, but no, you don’t need to be an expert in everything and tick every single box; at its essence, we’re looking for someone with experience as an all-around organizer and administrator who works well as part of a compassionate and results-focused team.
Who can apply?
- This is a part-time position with an expected 20 hours a week on a regular schedule. We will also consider a contractor relationship but prefer a part-time employee.
- You must be able to start immediately i.e. you can give standard notice now.
- If you live in Canada, you should be able to work in Canada. If you live elsewhere, that’s not necessary, but still nice.
- You must be set up to work from home—we went all-virtual during the pandemic.
- You must work in sync with North American time zones. We’re in Pacific, Mountain and Central Times, and we want this position to share common work hours.
- In addition to substantial benefits, bonuses and vacation time, this position is currently budgeted for Canadians at $40,000 FTE (full-time equivalent).
